What an event or merchandise order needs from a factory
Event and merchandise orders work backwards from a fixed date: a festival, a conference, a product launch, a tour or a team season. The quantity is usually set by headcount or expected sales and is often modest per design. That makes three things decisive: a minimum order you can actually reach, artwork that reproduces correctly on the garment, and a production plan built around your date.
Our minimum is 25 units per order, split across sizes as you need. Cutting, sewing and finishing run in our own factory in Sialkot, Pakistan; printing and embroidery run at vetted partner units, while proofing and sample approval stay with our team. The same process serves a crew run for one weekend and a merchandise line you plan to restock.
Garments that suit merchandise programs
Most event and merch programs are built from four product families. Each is cut and sewn to your specification, not bought in as finished stock.
Stock fabric colours and one or two decoration positions keep a first merchandise order straightforward. Branding can go beyond the print: woven or printed neck labels, tagless heat-transfer labels and polybag packing turn a giveaway into a product that looks like it belongs to your brand or event.
- T-shirts: combed cotton and cotton/polyester from 160 to 240 GSM, decorated by screen print, DTG or embroidery.
- Hoodies: brushed fleece and French terry from 280 to 450 GSM, with screen print, puff print, embroidery or appliqué.
- Windbreakers: nylon or polyester shells with a water-repellent (DWR) finish, packable pouch options, and print, heat transfer or embroidery on unlined zones.
- Polo shirts: piqué and jersey for staff, crew and hospitality teams, usually embroidered or screen printed.
Artwork and decoration proofs before bulk
Send vector artwork where you can; for DTG a 300 dpi raster file works. The print method is chosen per artwork and fabric: flat spot colours on screen print, photographic gradients on DTG, logos on polos and hoodies often as embroidery.
Every new artwork is proofed on the actual production fabric before bulk is approved, and embroidery is approved as a stitched swatch rather than a screen mock-up. Placement is recorded on the spec sheet with measured offsets, so a re-order for next year's event prints in the same position. Final inspection checks finished garments against the approved sample before packing.
Planning around a fixed date
We do not publish a standard lead time. Bulk timing depends on quantity and specification and is quoted per project once both are confirmed. Sample development takes a minimum of 1–2 weeks; treat that as a planning minimum, not a promise.
Put your event date in the RFQ. A technical reviewer checks it against your quantity and specification and tells you early where the risk sits: custom-dyed fabric, heavyweight fleece knitted to order and multiple decoration positions all add time. Stock fabric colours and one or two print positions keep a tight schedule simpler. The aim is that a date problem surfaces at the start, not in the week before the event. Shipping route and terms are agreed per order.
Frequently asked questions
What is the minimum order for event merchandise?
25 units per order, split across sizes as you need. Stock fabric colours keep a small order simple; custom-dyed fabric can carry a mill minimum, which we state in the quote.
Can you deliver in time for my event date?
Tell us the date in your RFQ. We do not publish a fixed lead time: a technical reviewer checks the date against your quantity and specification, and the quote states the production range. Allow at least 1–2 weeks for the sample before bulk starts.
Will I see the decoration before bulk production?
Yes. New artwork is proofed on the production fabric and embroidery is approved as a stitched swatch. Bulk starts only after you approve the sample.
What artwork files should I send?
Vector files are preferred. For DTG, a 300 dpi raster file works. Add Pantone references if colours must match your brand guidelines.
